PRIVACY POLICY

1. Who we are

Tax Alert Pro (“Tax Alert Pro”, “we”, “us”, “our”) provides the website at taxalertpro.com and the Tax Alert Pro reminder application (together, the “Service”). The application is developed and maintained by Webrun Group Inc.

We are responsible for the personal information under our control and have designated a Privacy Officer, who can be reached at hello@taxalertpro.com or at 245 Fairview Mall Dr, Suite 504, North York, ON M2J 4T1, Canada.

This policy explains what personal information we collect, why, how we use and share it, and the choices you have. We handle personal information in line with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

2. Two kinds of information

Information about you. When you visit our website, contact us, book a demo or subscribe, we collect information about you as described below.

Information about your clients. Accounting firms that use Tax Alert Pro give us information about their own clients so we can send reminders on the firm’s behalf. For that information, the accounting firm decides what is collected and why, and is responsible for having the right to share it with us. We use it only to provide the Service to that firm.

3. Information we collect

Information you give us

Contact and demo request forms: your name, business name, email address, phone number (optional), and your message or the topics you select.
Subscription and account details: your name, firm name, business contact details and billing details. Payments are processed by Stripe. We do not see or store your full card number.
Your clients’ details (for subscribers): the client list you send us or keep in your Tax Alert Pro client sheet, such as client first name, company name, email address, mobile number (if you want text reminders), the tax types you track and their filing and payment dates.
Communications: emails and messages you send us, and notes from setup and support calls.

Information collected automatically

When you submit a website form: to protect our forms from spam and abuse, we record your IP address, an approximate location estimated from it (city, province or state, and country), the page you submitted from, your browser and device type, and the date and time.
When you browse our website: usage information such as pages visited, time on page, referring website, browser and device type, and approximate location, collected through cookies and similar technologies (see section 7).

4. How we use information

To reply to your messages and arrange demos and setup calls.
To set up and run the Service, including sending email and text reminders to you and, for subscribers, to your clients.
To process payments and manage subscriptions.
To protect our website and Service from spam, fraud and misuse.
To understand how our website is used and improve it.
To advertise our Service, including showing ads to people who have visited our website (see section 7).
To send you news and offers about Tax Alert Pro, only where you have agreed to receive them or as otherwise permitted by Canada’s Anti-Spam Legislation (CASL). Every marketing email includes a way to unsubscribe.
To meet legal, tax and accounting obligations.

5. Consent

We collect, use and share personal information with your consent, except where the law allows otherwise. By using our website, submitting a form or subscribing, you consent to the uses described in this policy. You can withdraw your consent at any time, subject to legal or contractual limits, by contacting us. If you withdraw consent, we may not be able to provide some or all of the Service.

6. Service providers we share information with

We do not sell or rent personal information. We share it only with service providers that help us run the Service, and only as needed for them to do that work:

Webrun Group Inc. develops and maintains the application and website.
Google: Google Sheets and Google Workspace (client sheets and business email), Google Calendar and Google Meet (demo and setup calls), Google Analytics (website usage), Google Ads (advertising), YouTube (the embedded demo video) and Google reCAPTCHA (form spam protection). reCAPTCHA is subject to the Google Privacy Policy and Terms of Service.
Amazon Web Services: Amazon SES sends our emails, including reminders and form notifications, from its Canada (Central) region. Amazon S3 stores encrypted website backups.
Twilio: sends text message (SMS) reminders.
Stripe: processes subscription payments. See the Stripe Privacy Policy.
ipapi.co: estimates the approximate location of the IP address used to submit a website form.
Our website hosting provider: stores the website and its database, including form submissions.

We may also disclose information if required by law, to protect our rights or the safety of others, or as part of a sale or reorganization of our business, in which case the information would remain protected by this policy.

7. Cookies, analytics and advertising

We use cookies and similar technologies to keep the website working, to protect our forms (Google reCAPTCHA), to understand how visitors use the website (Google Analytics), and to measure and show our ads (Google Ads), including showing ads on other websites to people who have visited ours.

You can control cookies in your browser settings. You can also:

opt out of Google Analytics with the Google Analytics Opt-out Browser Add-on;
manage or turn off personalized Google ads at Google Ad Settings;
opt out of interest-based ads from participating companies at youradchoices.ca.

Do Not Track. Some browsers offer a “Do Not Track” setting. There is no common standard for how websites should respond to it, and our website does not currently change its behaviour when it receives this signal. You can use the opt-out options above instead.

8. Where your information is stored

We store and process information in Canada where we can. Some of our service providers, including Google, Twilio, Stripe and ipapi.co, may store or process information in the United States or other countries. When that happens, the information is subject to the laws of those countries and may be accessible to their courts, law enforcement and national security authorities.

9. How long we keep information

Form submissions: as long as needed to respond to your enquiry and follow up with you.
Your clients’ information (for subscribers): your firm controls this information and can change or remove it at any time, including at the end of the subscription. When a subscription ends, we stop sending reminders and archive any remaining records.
Account and billing records: when a subscription ends, we archive account records and keep billing records (held by us and by Stripe) for as long as tax and accounting laws require.
Website usage data: according to our Google Analytics retention settings.

10. How we protect information

We use reasonable physical, organizational and technical safeguards, including encrypted connections (HTTPS), restricted access, two-factor sign-in for administrators, a website firewall, sending-only email credentials and encrypted backups. No method of transmission or storage is completely secure, but we work to protect your information and will notify you and the Privacy Commissioner of Canada if a breach creates a real risk of significant harm, as the law requires.

11. Your rights

You can ask us to:

tell you what personal information we hold about you and how we have used and shared it;
correct information that is inaccurate or incomplete;
delete your information, where we are not required to keep it;
stop sending you marketing messages.

To make a request, email hello@taxalertpro.com. We may need to confirm your identity first, and we will reply within 30 days. If your request is about information an accounting firm gave us about you, we may refer you to that firm. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada.

If you live outside Canada, you may have additional rights under the laws where you live. Contact us and we will help.

12. Children

Tax Alert Pro is a business service and is not intended for anyone under 18. We do not knowingly collect personal information from children.

13. Links to other websites

Our website may link to websites we do not control. Their own privacy policies apply when you visit them.

14. Changes to this policy

We may update this policy from time to time. We will post the updated version on this page with a new “Last updated” date and, for significant changes, notify subscribers by email.
